How to Report Cohorts (Grouping)

Note: Cohorts (Grouping) associations must be provided each school year.

  • The creation of cohorts and associating them to specific staff and students to create the relationship allowing access to the student records in Student Data Backpack is needed each year.

Cohorts (Grouping) Reporting Requirements:

  • Create and Report the Cohort Identifier associated with the reporting School ID.

    • Cohort Identifiers can be named by the school and these should be created to assist schools in quickly/easily identifying the cohort or group the staff and students are associated.

      • Example for Academic Intervention - MarySmith_3rdAcInv

      • Example for Attendance Intervention - MarySmith_10thAT_Inv

      • Example for Counselor List - MarySmith_AtoG

      • Example for Multilingual Cohort - MarySmith_1.0to2.0

      • Example for Principal Watch List - MarySmith_RTI

      • Example for Special Education Caseload - MarySmith_SpEdTOR

  • NOTE: Cohort Identifier has a limit of 20 characters, does allow special characters, and cannot have spaces,

    • Cohort Identifiers are associated to an Education Organization ID. The Education Organization ID is unique to each Cohort Identifier.

    • Report one allowable Cohort Type and Cohort Scope descriptor with each Cohort Identifier.

      • NOTE: Staff are not required to have a staff assignment of Counselor, Principal, or Teacher to be associated to a Cohort Identifier with one of those Cohort Scope Descriptors.

  • Report Staff to the Cohort Identifier (creating the Staff Cohort Association) with the accurate reporting School ID.

    • NOTE: Staff may have multiple Staff Cohort Associations if they are associated to more than one Cohort Identifier.

  • Provide begin date of the staff’s association to the Cohort Identifier. This may be the first day of school or the first day the staff has an association to the cohort.

  • Provide end date (as needed) of the staff’s association to the Cohort Identifier. This may be the last day of school or the last day the staff has an association to the cohort.

  • Report Student Record Access ‘Yes’ to each Staff Cohort Association. This will allow access to those student records in Student Data Backpack associated to the same Cohort Identifier.

  • Report student(s) to the Cohort Identifier (creating the Student Cohort Association).

    • NOTE: Students may have multiple Student Cohort Associations if they are associated to more than one Cohort Identifier.

  • Provide begin date of the student's association to the Cohort Identifier. This may be the first day of school or the first day the student has an association to the cohort.

  • Provide end date (as needed) of the student’s association to the Cohort Identifier. This may be the last day of school or the last day the student has an association to the cohort.
