UPDATE: Membership February Count Timeline Adjustment

Census date: Monday, Feb 2, 2026

Nightly Validations end Tuesday, Feb 3,2026 - beginning Wednesday, Feb 4, 2026 and thru Sunday, Feb 8, 2026, schools may run their own validations using the ReRun Validation button. A change has been made to the February timeline allowing On Demand Validation through Tuesday, Feb 10, 2026.

Certification Window Starts Wednesday, Feb 11, 2026 - during the certification window, if a validation is required it must be requested by navigating to the Certify page in DEX, clicking Review & Certify, then click Request Validation at the bottom left.

Certification Ends on Friday, Feb 13, 2026. There is no change to the close date.

NEW: From Office Hours

  • Question: After hearing the presentation on the new middle school math auto enrollment I have some questions about how this will impact record submission. It looks like we will be submitting course outcomes for student beyond their grade level which will create a lot of warnings to sort through in DEX. Is there a plan to mitigate the number of warnings based on the new math requirements? Will there be data reports that help us sort out students who should be in the auto enrollment for advance classes? Anything else you can share with us that's 'in the works' regarding the new math auto enrollment would be appreciated.

    • Answer: Warnings regarding grade level will increase with this statutory requirement coming in the 2026-2027 school year ((IC) 20-30-18-3). These warnings are informational for schools to use for verification. As of right now, DOE feels these warnings are going to become even more useful to schools as they audit whether all students meeting criteria were enrolled in higher grade level math if not opting out. We are having internal discussions regarding how these warnings can differentiate themselves from other grade level warnings to serve as a better call out of these scenarios. More information to come in the future.

NEW: Future Enrollments and Membership Conflicts

IDOE is aware that Membership Conflicts are being created where the student is currently enrolled and attending at School A but School B has received information from a parent that the student will be enrolled at a future date at School B.  If School B enters the student in the SIS AND sends the  data to DEX, a Membership Conflict will be created.  In order for the student to be certified for the February 2, 2026 Membership count the future enrollment must be removed from the ODS. Work with SIS vendor to determine how to prevent the future enrollment data from sending to DEX.

Office Hours sessions are offered on Tuesday and Thursday on certain weeks to accommodate Business Owner sessions on specific data sets.

NEW: Auto-Enrollment Office Hours Recording

On Thursday, January 29, IDOE hosted a live office hours for counselors and administrators serving students in grades six through eight. The webinar recording can be found here. The session included a brief overview of the latest guidance, followed by Q&A. Questions answered during the session can be viewed in the parking lot, which is available in the office hours slides. REMINDER: Office of School Finance

REMINDER: Count Day Reminder

Please see this memo regarding fall and spring count days for the 2026-2027 school year. As a reminder, students who are enrolled and expected to be in attendance are eligible to be counted on count day and thus count for ADM. School corporations and charter schools are expected to plan to conduct school on count days, so that there is a reasonable expectation that the students will be in attendance. REMINDER: Office of School Accountability

Instructional Day Flexibility Waiver Process

Last weekend’s severe winter storm significantly impacted travel throughout our state, as well as school operations. If your school corporation cancelled days and/or had asynchronous instruction and you would like to submit a waiver for any days during the week of Monday, January 26, you can do so via the existing waiver process. Requests can be completed using the following Jotform and should be submitted no later than Friday, February 13. This will allow us to gather additional impact data and better understand each unique situation so that we can best support schools moving forward. Given the widespread impact of this storm, we are anticipating a high volume of requests, and will respond as quickly as possible. Any questions can be directed to schoolaccountability@doe.in.gov.  

 

Synchronous and Asynchronous Instructional Days

As some schools are impacted by winter weather, we wanted to remind you of the state statute regarding synchronous and asynchronous instructional days. Per statute, schools may have up to three asynchronous learning days each school year. Schools are not limited on the number of synchronous days. Districts are also able to make days up in person using their built in snow days. To the extent a district cannot make up a day via asynchronous instruction (i.e., power outage, etc.), please let us know and note that in the request. REMINDER: Office of Student Pathways and Opportunities

The submission window for Alternative Education New Program Proposals for operation in the 2026-2027 school year that do not have a currently approved alternative education program is now open through March 31, 2026. The proposal link can be found here, under Documents and Resources. Currently approved alternative education programs that wish to establish a new alternative education program should consult with the IDOE’s Alternative Education Team for guidance. Contact IDOE’s Alternative Education Team with any questions.

Indiana Accommodation Update

IDOE has added an additional accommodation for the I AM assessment identifier = Alternate Tester with both short and long description = Alternate Tester. You should be able to locate this in your vendor environment.

This ‘accommodation’ is only required when a student who is identified as an alternate test taker DOES NOT have or require any of the additional assessment accommodations for I AM. If IDOE finds any other I AM accommodations the student will be flagged as an alternate tester. This ‘accommodation’ cannot be managed by each LEAs CTC within the assessment vendor’s software. This ‘accommodation’ will be managed by IDOE and add a flag or indicator to the student for an alternate tester identification when IDOE provides those student/enrollment files to Cambium. This ‘accommodation’ is not needed if other I AM assessment accommodations are provided directly from the school or from PowerSchool Special Programs.

Ed-ID Reminder: Updates to STN and SPN

Recently there has been a number of instances where STN/SPN merges have been necessary in order to cleanup newly created IDs when all that was necessary was an update to the existing ID. Guidance for requesting an update to an existing ID can be found in Knowledge Hub > Ed-ID Support Hub > How to Submit and Update Request. Please note that if an update is required to an SPN that has an LVIS account, the staff member must first log into the LVIS application and request an update. Once that update is completed in LVIS, it will be copied over to Ed-ID. You may also use this jotform link to request assistance from Educator Licensing. IDOE Licensing Self Help WebForm
