How to Report Credit Corrections
Credit Correction Course Outcomes
NOTE:
Reporting Credit Corrections should not be viewed as a primary means of Course Outcome reporting and should only be used to report missing credits on a limited basis. Accurately reporting and certifying all Course Outcomes in July of each school year should remain the goal of all schools except in extenuating circumstances.
Overview:
Credit Corrections are intended for reporting student transcript (outcome) records that were missed or non-reported where credits were earned during a previous school year.
Schools should have a local internal process with all supporting documentation on hand in case of an audit when submitting Credit Corrections. All Credit Corrections are subject to audit by IDOE.
How to Report Credit Corrections:
Credit Corrections must always be reported in the current school year using the method credit type that aligns to the school year in which the missed credit was earned
(e.g., 2022 Credit Corrections, 2023 Credit Corrections, etc.).
IDOE advises creating a designated term descriptor in Calendar Session → Grading Period specifically for Credit Corrections.
This prevents a Credit Correction from being overwritten by other outcomes for the same course code in the reporting school year. Mini-terms may be used for this purpose.
Student Academic Records reporting Credit Correction outcomes will need to have an association to the reporting education organization. Schools cannot provide outcomes for students they do not have a relationship, ‘enrollment’, identified.
IDOE will capture the association from the student school association by utilizing the corporation portion of the Ed Org ID to allow those Ed Orgs the ability to report students no longer enrolled in the specific school ID for which they earned the outcome.
Example: Student is enrolled in middle school and data is being reported in the following school year for October certification. Student is enrolled in high school the following school year and no longer has an enrollment record at the middle school. IDOE will utilize the Corp ID to allow the reporting of the credit correction outcome.

The Credit Correction method credit types may be available for reporting through the Student Information System (SIS). If this option is available, please utilize the SIS to report the credit corrections to Data Exchange
If the Credit Correction method credit types are not available for reporting through the SIS, there is a template available for use. Template and template guidance can be found in Knowledge Hub - Course Outcomes template and guidance
Completed templates are to be uploaded to Data Exchange Validation Portal via the Upload page *Please Note: Once uploaded, the records must be free from errors and exclusions on the Upload page and the Validate page and you must see the courses on the Course Outcomes roster found on the Certify page with a Certified status.
