Overview:

Here are the quick instructions for utilizing Template 019 Student Program Multilingual Learner Program.


Before Beginning, Note:

  • All steps will be completed in Row 7, downwards.


Instructions:

1. Enter the EdOrgID.

  • This is the school corporation or LEA Id. See Chart below for more details. 

EdOrgID: Public vs. Non-Public Schools

  • EdOrgID (Corp/LEA) is a ten digit number comprised from current Corporation assigned ID

  • ALL School ID’s start with 10

  • Next current state assigned Corporation ID - example 1234

  • Last ends with 0000

    • Example School ID: 1012340000

  • EdOrgID is a ten digit number comprised from current CorpID and State assigned ID

  • ALL School ID’s start with 10

  • Next Corporation ID is always four zeros - example 0000

  • Last ends with state assigned School ID A456 with Alpha converted to number

    • A=1, B=2, C=3, D=4

  • Example: School ID: 1000001456

2. Enter the STN

  • Note: Any STNs beginning with a zero will need the field or entire column to be formatted as TEXT to hold the nine digits being reported. Leading zeros will be dropped upon reopening the csv file.

3. For ProgramEdOrgID, enter in this number exactly: 1088000000

4. For MultilingualLearnersProgramTypeDescriptor, enter this phrase exactly (case and space-sensitive): Multilingual Learners

5. Select the ProgramName from the following options on the chart below.

  • Note: these program names are both space and case sensitive.

6. Enter the BeginDate.

  • This is usually the date the student starts their enrollment in the program, or first day of the school year.

  • Note: Spreadsheets will often auto-format dates. Be sure to format the cell to “TEXT”, then type the date [MM/DD/YYYY]

7. If necessary, enter the EndDate.

  • This may be if the student graduates or if student changes programs (i.e. ESL to Regular Education).

  • Schools DO NOT report end dates to the Multilingual Learner program when a student exits the school (transfers).

  • Note: Spreadsheets will often auto-format dates. Be sure to format the cell to “TEXT”, then type the date [MM/DD/YYYY]

8. If you entered an EndDate, you must provide a ReasonExitedDescriptor.

  • The available Code Values, along with their meaning, can be found on the green chart below.

Remember: Templates must be saved as a CSV file (with cells formatted as TEXT) inside of a Compressed Zipped Folder, in order to process correctly.
