Overview:

Here are the quick instructions for utilizing Template 021 Student Program Student Alternative Ed Program Association.

Make sure to read the general reporting information for templates before proceeding. Failure to follow these guidelines will result in errors and/or data validation issues.


Before Beginning, Note:

  • All steps will be completed in Row 7, downwards.

  • Note: Non-public schools do not report this template/data to IDOE.


Instructions:

1. Enter the EdOrgID.

  • This is the SchoolID.

  • See the chart below for more details.

School ID: Public vs. Non-Public Schools

Public

School ID is a ten digit number comprised from current Corporation and State assigned ID

ALL School ID’s start with 10

Next current state assigned Corporation ID - example 1234

Last ends with state assigned School ID 6789

Example School ID: 1012346789

2. Enter the STN

  • Note: Any STNs beginning with a zero will need the field or entire column to be formatted to hold the nine digits being reported. Leading zeros will be dropped upon reopening the csv file.

3. Enter the ProgramEdOrgId that matches your school and program using this chart.

  • Note: The ProgramEdOrgID can be found in column “A”.

  • Note: This is your ten digit Corp ID.

4. For ProgramType, enter the phrase “Alternative Education” (case and space sensitive, with no quotations).

5. Using the same chart from Step #3, enter the ProgramName associated with your EdOrg.

  • Note: Again, this field is case/space sensitive.

  • Note: Located in column “D”.

6. Enter the BeginDate. This is the start date the student began participating in the program.

  • Note: Spreadsheets will often auto-format dates. Be sure to format the cell to “TEXT”, then type the date [MM/DD/YYYY]

7. If necessary, enter an EndDate. This will be the last day of the school year or the last day the student was participating in the program.

NOTE: Students may have more than one alternative education program association record during the school year; report a record with accurate begin/end dates each time the student is enrolled and attending the alternative education program.

8. If you provide an EndDate, you must enter a ReasonExitedDescriptor by providing one of the allowable Reason Exit Codes listed on the chart below. 

  • Note: Make sure cells are formatted as “TEXT”.

9. Enter an AlternativeEducationEligibilityReasonDescriptor by providing one of the allowable codes on the chart below.

  • Note: Make sure cells are formatted as “TEXT”.

  • All records must have an eligibility reason provided.

Alternative Education Eligibility Reason Descriptors

Student intends to withdraw or has withdrawn before graduation.

Student has failed to comply academically and would benefit from instruction offered in a manner different from instruction available in a traditional school.

Student is a parent or an expectant parent and is unable to regularly attend the traditional school program.

10. Enter the ProgramMeetingTimeDescriptor (case sensitive, without quotations) to provide the meeting time the student is expected to attend.

  • Note: ProgramMeetingTime1 (column J) is required to be completed, but you may use more meeting time fields if the student is attending more than one meeting time.

    • Students can be reported with any combination of the three allowable meeting times.

  • Note: Additional meeting time fields not used are left blank.

Remember: Templates must be saved as a CSV file (with cells formatted as TEXT) inside of a Compressed Zipped Folder, in order to process correctly.
