All Additional Student Programs Templates: How to Complete Template 020

 

Overview:

Here are the quick instructions for utilizing Template 020 Student Program Student Program Associations.


Before Beginning, Note:

  • All steps will be completed in Row 7, downwards.


Instructions:

1. Enter the SchoolID.

  • See the chart below for more details.

School ID: Public vs. Non-Public Schools

School ID is a ten digit number comprised from current Corporation and State assigned ID

ALL School ID’s start with 10

Next current state assigned Corporation ID - example 1234

Last ends with state assigned School ID 6789

Example School ID: 1012346789

School ID is a ten digit number comprised from current Corporation and State assigned ID

ALL School ID’s start with 10

Next Corporation ID is always four zeros - example 0000

Last ends with state assigned School ID A456 with Alpha converted to number

  • A=1, B=2, C=3, D=4

Example: School ID: 1000001456

2. Enter the STN.

  • Note: Any STNs beginning with a zero will need the field or entire column to be formatted to hold the nine digits being reported. Leading zeros will be dropped upon reopening the csv file.

3. For ProgramEdOrgID, enter in this number exactly: 1088000000

4. Enter the appropriate ProgramTypeDescriptor the student is participating in or needs to be associated with.

  • Students may have more than one program associated to them which will require more than one record provided. The allowable Program Types can be found below on the chart provided.

  • Note: These program types are case and space sensitive.

5. Enter the appropriate ProgramName the student is participating in or needs to be associated with.

5. Enter the BeginDate.

  • This is the date the student starts participating in the program, or first day of the school year.

  • Note: Spreadsheets will often auto-format dates. Be sure to format the cell to “TEXT”, then type the date [MM/DD/YYYY]

6. If necessary, enter the EndDate.

  • This may be the last day of the school year, the last day the student attends the school, or the last day the student is participating in the program.

  • Note: Spreadsheets will often auto-format dates. Be sure to format the cell to “TEXT”, then type the date [MM/DD/YYYY]

7. If you entered an EndDate, you must provide a ReasonExitedDescriptor.

  • The available Code Values, along with their meaning, can be found on the chart below.

    • Utilize code 99 when a student is no longer participating in the program or exits the school before the end of the school year.

    • Utilize code 99 when a student changes program names under the same program type.

    • Utilize End of Year (EOY) when a student participates in the program until the last day of the school year. 

    • These code values are case and space sensitive.


Remember: Templates must be saved as a CSV file (with cells formatted as TEXT) inside of a Compressed Zipped Folder, in order to process correctly.
