How to Report Staff Contact

Note: To submit a Staff Contact Record, a Staff Record (SPN) must exist in the Ed-ID system.

Staff Contact Reporting:

A Staff Contact record allows staff access to the LINK portal. Additional Staff Assignment records identify what DOE ‘tiles’ or platforms within the LINK portal staff will have access.

  • Report the accurate Education Organization ID

    • This may be a Corporation (LEA) ID or an individual School ID

    • This must be in the 10 digit format

  • Report the accurate Staff Ed-ID (SPN)

  • Report the record with Unified Access for the each staff’s Contact Title

  • Report the staff’s work associated email address (this should not be a personal email)

  • IMPORTANT: Staff associated to both a Corporation ID and a School ID or multiple School IDs must have a contact record for each ID.

    • Staff needing access to corporation identified tiles and school identified tiles within the LINK portal must have a contact record provided for each ID.

    • Example: Staff is a teacher and associated to more than one school under a corporation will need a contact record for each school they are associated.

    • Example: Staff is a special education teacher at one school and also needs access to the student support plan tile will need a contact record for the school ID and for the corporation ID.

    • Example: Staff is a building principal, teacher, data viewer for Data Exchange, and manages IEPs will need a contact record for the school ID and for the corporation ID.

      • Principal is a key contact and does not grant access to Data Exchange; this is for communication purposes.

      • Data viewer will grant access to either the school or the corporation depending on the need and the ID provided.

      • Teacher will grant access to platforms just for teachers at the school ID.

      • Manages IEPs will grant access with the corporation ID.
