July Certification Timeline - CERTIFICATION BEGINS TODAY, Friday, July 5, 2024

  • Friday 5, 2024 through Friday, July 12, 2024, by 3:59 pm ET, if a validation is necessary, request a data correction on the Certify page of DEX. DO NOT CREATE A HELP TICKET AS IT WILL LIKELY NOT BE PICKED UP IN A TIMELY MANNER TO FACILITATE THE CORRECTION OF YOUR DATA.

  • If assistance is required for making corrections to data, a help ticket must have been submitted by 11:59 pm ET on Sunday, June 30, 2024.

DEX 2.0 Certification/Signoff Procedure

  1. Navigate to Certify page

  2. Click review and certify button

  1. Review each dataset listed on the menu on the left side of the page, check each dataset box indicating ‘I have reviewed and Approve for Signoff 

  2. Select the Sign off tab

  3. Select Sign Off button

  4. Select Confirm that documents are being prepared and to Open Hello Sign 

  5. Click OK

  6. Get started at top right 

  7. Click to Sign

  8. Insert

  9. Sign then continue

  10. I agree

INTERS and Graduate Reporting

If you get an error message indicating that the student has not met the requirements for a CTE Concentrator or an Industry Certification, please follow these steps:

  1. Go to InTERS (Login ) and click on the pathway search app. 

  2. On the following screen you will select “continue” which will take you to the screen to enter a student last name and student testing number (STN).  Once you have entered the student last name and STN you will select “search” to be taken to the student overview screen. 

  3. This screen contains three specific tabs of pathways, courses and grad pathway approved certs.  The pathways tab allows you to see the pathways (Perkins IV, V and NLPS) that the student is under, the courses tab shows the career and technical education (CTE) courses the student has taken and is currently enrolled in as well as the number of credits earned in each course that have been reported via InTERS.  You can also select the grad pathway approved certs tab in order to see what, if any, approved assessments/certifications the student has earned that have been reported via InTERS. 

  4. Compare these data to the student transcript to determine if there are any missing CTE courses, missing or incorrect number of earned credits, or missing grad pathway approved assessments/certifications.  If so, you will need to contact an individual in your CTE district with CTE InTERS access so they can import the missing courses, grad pathway approved assessments/certifications or update the number of earned credits.  Once they have updated the information in CTE InTERS, they should be advised to recalculate for concentrator status on that specific student record under the views-students grid so that you can submit the student to the graduation report immediately following their updates.

REMINDER: 2024 Cohort Locking Soon

The July certification in DEX is the final opportunity to fix any (non-graduate) students in the 2024 cohort via a data entry in DEX. Please check your 2024 cohort report for accuracy:

  • Ensure that all students that have graduated have a Graduate status on the cohort report. 

  • Pay special attention to any students with an Unknown Cohort status. The Unknown Cohort status is a dropout status and counts against the graduation rate. Many Unknown Cohort statuses can be fixed by the school/corporation via data entries. Specific details about the causes of the Unknown Cohort status and what to do about it can be found in the Unknown Cohort Status webinar and the accompanying slides found on Moodle. The case-sensitive enrollment key for the Moodle community is AccountabilityCommunity

  • Review the graduation rates on the cohort report. The Official State Grad Rate is the state graduation rate and accounts for the Alternate Diploma and waiver caps.

REMINDER: 2024-2025 Corporation Amendments

The 2024-2025 school year corporation amendment window is open through Friday, August 30. Corporations and schools with school profile changes should submit a corporation amendment request with supporting documentation via Jotform. Information regarding submission can be found here. Corporations and schools without any school profile changes do not need to submit a request. Contact IDOE’s Office of Accountability with any questions.

Attendance Submissions in Data Exchange

Please check attendance data in Data Exchange by going to the Certification tab and then Attendance to ensure that the 162 day count is accurate. Check the number of students in the ‘Eligible Student Count >= 162 days’ column for accuracy and work to fix any errors in the attendance submission immediately. Contact IDOE’s Office of Accountability with any questions.

REMINDER: English Learner (EL) Exit Criteria Changes Approved & Upcoming Training

The U.S. Department of Education has approved Indiana’s state Every Student Succeeds Act (ESSA) plan amendment to adjust Indiana’s criteria for students to exit EL status beginning with the 2024-2025 school year. The change is summarized here. IDOE’s EL team will release a memo and accompanying implementation guidance in the coming weeks. Join the virtual training on Wednesday, July 10, at 10 a.m. ET for additional details. The training will be recorded, and additional training opportunities will be coming soon. Details on the training can be found on the EL PD Opportunities Calendar. Contact IDOE’s Office of English Learning and Migrant Education with questions.

Summer PCG Nightly Upload Guidance

To provide availability in PCG for students that need a Special Education Evaluation over the summer or for students transferring to your corporation from another Indiana corporation that you have a need to access the IEP, the following guidance has been established.

Prior to 7/1/2024

  • Create SSA False with entry date after 2024 calendar and before 7/1/24 the record should be included in nightly update to PCG.

    • Create single-day SSA record on the last day of the school year, primary false, If unable to provide enrollment date after last day of school

After 7/19/2024

  • It is anticipated that by 7/19/24 schools can submit an SSA True record with entry date the first day of 2025 school calendar (future date) if student for students transferring from another Indiana corporation.

    • Be advised that the exiting school corporation must have exited both the SSA and SE program record before access to IEP at new corporation is provided.

    • NOTE:  Be advised that once a primary true enrollment record is created and provided to DEX, the new corporation becomes the responsible corporation for the student.

  • For SE evaluation or SE walk-in purposes, primary False.

Course Outcomes, Method Credit Types - Summer School 2023 data vs Summer School 2024 Data

Method Credit Type Summer School credit should be reported for summer schools courses taken during the summer of 2023.

All courses taken during the summer 2024 must be reported with one of the Participation Method Credit Types per legislative decision.

Employability Skills and Postsecondary-Readiness Guidance

Schools must provide both Employability Skills and Postsecondary-Readiness Competency data together. Schools cannot provide one data without the other.

  • AchievementCategoryDescriptor "N/A or Did not Demonstrate" is allowed to be submitted for all the diploma levels before 2023 cohort.

  • AchievementCategoryDescriptor "N/A or Did not Demonstrate" is not allowed to be submitted for all the diploma levels except “6”(Certificate of Completion (IEP program Completed) and “7”(Course Completion) on or after 2023 cohort.
