Data Exchange (DEX) 2025 Now Available to Receive Data

  • IDOE completed the DEX roll from 2023-2024 to 2024-2025 Tuesday morning, July 16, 2024.

  • Nightly validations are expected to run tonight, Wednesday, July 17, 2024.

  • Be certain that your SIS is set and ready to send 2024-2025 data. If not certain SIS is ready, reach out to your vendor for support.

  • Vendor documentation for 2025 IDOE EdFi 6.1 is posted to Knowledge Hub > Vendor Support Hub > Documentation as well as the 2025 Vendor Badging document if needed.

  • Don’t Forget!!! You must first have Calendar data submitted for the 2024-2025 school year before any other data can be sent and land in the ODS.

Office Hours for 2024-2025

For the month of August, 2024, weekly DEX Office Hours sessions will be availabe on Tuesday mornings at 10:30 am to noon and Thursday afternoons at 1:00 pm to 2:30 pm ET.

Beginning in September, 2024, weekly DEX Office Hours sessions will return to a Tuesday only schedule. The session times will alternate weekly between a morning session and an afteroon session.

Access to the Office Hours Submit Question button and Office Hours Question Responses button as well as a button providing connection to the Office Hours session can be found in Knowledge Hub > Communications Hub > Upcoming Events.

2024-2025 Alternate Household Application and Notification Letters - CEP

The application has been approved by SBOA and now it is on our webpage: Alternate Household Application and Notification Letters under the drop-down titled Alternate Household Application and Notification Letters. When you click English for the application it will download as a Word document so schools edit with their own information. The Parent Letter/Instructions are updated as well. The notification letters are still getting some updates. We will be submitting the app and instructions to our translation services to get them translated into Spanish. 

IDOE’s Office of School and Community Nutrition will host a webinar for CEP sponsors to discuss the alternate income application and requirements for data collection using that application as it pertains to SUN Bucks.

2024-2025 Free & Reduced Forms - Non-NSLP

Find the Free and Reduced Application for Meals and Parent Letter/Instructions posted here. When you click English for the application it will download as a Word document so schools can remove the SUN Bucks section and edit with their own information.

REMINDER: English Learner (EL) Exit Criteria Changes Approved & Upcoming Training

The U.S. Department of Education has approved Indiana’s state Every Student Succeeds Act (ESSA) plan amendment to adjust Indiana’s criteria for students to exit EL status beginning with the 2024-2025 school year. The change is summarized here. IDOE’s EL team will release a memo and accompanying implementation guidance in the coming weeks. Join the virtual training on Wednesday, July 10, at 10 a.m. ET for additional details. The training will be recorded, and additional training opportunities will be coming soon. Details on the training can be found on the EL PD Opportunities Calendar. Contact IDOE’s Office of English Learning and Migrant Education with questions.

Summer PCG Nightly Upload Guidance

To provide availability in PCG for students that need a Special Education Evaluation over the summer or for students transferring to your corporation from another Indiana corporation that you have a need to access the IEP, the following guidance has been established.

Prior to 7/1/2024

  • Create SSA False with entry date after 2024 calendar and before 7/1/24 the record should be included in nightly update to PCG.

    • Create single-day SSA record on the last day of the school year, primary false, If unable to provide enrollment date after last day of school

After 7/19/2024

  • It is anticipated that by 7/19/24 schools can submit an SSA True record with entry date the first day of 2025 school calendar (future date) if student for students transferring from another Indiana corporation.

    • Be advised that the exiting school corporation must have exited both the SSA and SE program record before access to IEP at new corporation is provided.

    • NOTE:  Be advised that once a primary true enrollment record is created and provided to DEX, the new corporation becomes the responsible corporation for the student.

  • For SE evaluation or SE walk-in purposes, primary False.

INTERS and Graduate Reporting

If you get an error message indicating that the student has not met the requirements for a CTE Concentrator or an Industry Certification, please follow these steps:

  1. Go to InTERS (Login ) and click on the pathway search app. 

  2. On the following screen you will select “continue” which will take you to the screen to enter a student last name and student testing number (STN).  Once you have entered the student last name and STN you will select “search” to be taken to the student overview screen. 

  3. This screen contains three specific tabs of pathways, courses and grad pathway approved certs.  The pathways tab allows you to see the pathways (Perkins IV, V and NLPS) that the student is under, the courses tab shows the career and technical education (CTE) courses the student has taken and is currently enrolled in as well as the number of credits earned in each course that have been reported via InTERS.  You can also select the grad pathway approved certs tab in order to see what, if any, approved assessments/certifications the student has earned that have been reported via InTERS. 

  4. Compare these data to the student transcript to determine if there are any missing CTE courses, missing or incorrect number of earned credits, or missing grad pathway approved assessments/certifications.  If so, you will need to contact an individual in your CTE district with CTE InTERS access so they can import the missing courses, grad pathway approved assessments/certifications or update the number of earned credits.  Once they have updated the information in CTE InTERS, they should be advised to recalculate for concentrator status on that specific student record under the views-students grid so that you can submit the student to the graduation report immediately following their updates.
