February Membership Timeline
The February Membership Certification window opened today, Friday, February 9, 2024 and will close at 11:59 pm Wednesday, February 14, 2024. Should corrections need to be made during this time, a Data Correction Request must be submitted from the DEX Certification tab. Note that making the request does not start a validation but simply send a request for the validation to be approved. Expect approval of the request within an hour of submission.

Data Exchange Office Hours
School Office Hours for Tuesday, February 13, 2024 begins at 10:30 am ET and ends 12:00 pm ET. This office hours session will be devoted to McKinney Vento (Homeless) and High Ability reporting.
The link to join the Office Hours session and the link to the jot form can be found in Data Exchange Knowledge Hub > Communications Hub > Upcoming Events. You will need to use the links listed under School Office Hours.
NOTE: the videos for McKinney Vento (Homeless), High Ability, and Alternative Education will be posted to Knowledge Hub > School Support Hub > Reporting Guides > Additional Student Information > Tutorials were posted earlier this week.. Office hours session for Alternative Education will be Tuesday, February 20, 2024.

DEX 2.0 Utilization/Navigation Updated
In addition to the February 6, 2024 Office Hours DEX 2.0 Utilization and Navigation session, the follow dates have also been made available to offer additional opportunities to participate. Schedule below has been updated to a link to the Teams appointment.

ME-45 Warning - Virtual Days Does not Meet the Threshold
This message is triggered to alert school personnel to verify that the data reported is accurate. Note that students that have a virtual program record that began in December 2023 or January 2024 (or later) will not have enough virtual attendance days to meet the 50% threshold to count the student as virtual for February 2024 Membership. Validation warning message ME-45 will trigger accurately in these instances. The warning message does not need to be cleared. IDOE preferred practice is that the Virtual Program record remain in place understanding the warning message is accurately triggered and that data has been found to be correct. When a student has a virtual program record the attendance events codes reported should be the Virtual code unless the student is absent.

DEX Discipline Validation Rules Deployed
The Data Exchange discipline rules have been deployed to production. These rules have not yet been added to the DEX Validation Rules in EDData. You can view the validations in Knowledge Hub > Communications Hub > In Development (https://idoe.atlassian.net/wiki/spaces/IKHTV/pages/401277115/In+Development). Scroll down to “Development Items for 2023-2024.

Known Issue: Special Ed Certification Counting Students Serving Expulsion and Services Terminated
Special Education students serving an expulsion (reported on enrollment record with code 33) and revoking or ending their program services (reported with a termination code) are showing certified inaccurately on the SE roster and summary.
IDOE will review all data after the December certification closes to determine students certified incorrectly. Schools will be notified of any students with a termination to their SE program record prior to 12/1 and having an exit reason of 33. There is no further action required from the schools. No termination code will correct the students to show as excluded from the counts.

From Accountability: NEW: 2025 Cohort
The SAT roster is created from the 2025 cohort. Review your 2025 cohort now, paying close attention to any student with a ‘Retained’ or ‘Unknown’ cohort status. Also identify any student who is in grade 11, but not on the 2025 cohort. Contact School Accountability immediately if you notice any issues or have any questions.
