Data Exchange Office Hours
School Office Hours for Tuesday, February 27, 2024 begins at 10:30 am ET and ends 12:00 pm ET. This office hours session will be an open forum.
The link to join the Office Hours session and the link to the jot form can be found in Data Exchange Knowledge Hub > Communications Hub > Upcoming Events. You will need to use the links listed under School Office Hours.
NOTE: The March 5, 2024 Office Hours session will be focused on Graduate reporting. Find the Graduate 2024 video and slide deck posted to Knowledge Hub > School Support Hub > Reporting Guides > Graduate > Tutorials.

NEW: Refreshed LINK Portal Launches Monday, February 26
A new version of the LINK Portal will be launched on Monday, February 26, with a new interface and the ability to save your favorite applications so they appear immediately after logging in. The system will still allow users to use their school corporation Google or Microsoft credentials to access IDOE applications and resources. Contact Brad Hagg with any questions.
To add some additional clarification here, the only thing that is changing with access to various applications is how the LINK Portal looks and that users will see their favorite applications/tiles when they login. However, since no one will initially have any favorite LINK tiles, they will initially see no tiles listed upon first login. They will need to click on all or search for the tile and then favorite it by selecting the star in the top right corner.

February Membership Is Now Closed
Please read this memo regarding the spring 2024 membership petition process. The deadline to file a petition is Wednesday, February 28. Contact IDOE's Office of School Finance with any questions.
NOTE: this petition process DO NOT apply to Non-public schools. At this time all non-public tickets submitted by 2/14/2024 have been addressed.

Known Issue: Special Ed Certification Counting Students Serving Expulsion and Services Terminated
Special Education students serving an expulsion (reported on enrollment record with code 33) and revoking or ending their program services (reported with a termination code) are showing certified inaccurately on the SE roster and summary.
IDOE will review all data after the December certification closes to determine students certified incorrectly. Schools will be notified of any students with a termination to their SE program record prior to 12/1 and having an exit reason of 33. There is no further action required from the schools. No termination code will correct the students to show as excluded from the counts.

DEX Weekly Announcement Email Notification
Today, Friday, February 23, 2024, the promised weekly announcement email notification was begun. The recipients of the email are LEA staff that have the “Data Exchange Contact” Staff EdOrg Assignment Association published to Data Exchange. If a staff assignment for “Data Exchange Contact” was not found in the ODS, no email was delivered. Best practice is to ensure that a Data Exchange Contact assignment be reported to DEX for all staff members that would need to be informed when updates to DEX or important information is shared via the Data Exchange Weekly Announcement. We are working on a solution to allow subscription to the Data Exchange Weekly Announcement that will be available on the Knowledge Hub > Communications Hub > School Updates.

From Accountability: NEW: 2025 Cohort
The SAT roster is created from the 2025 cohort. Review your 2025 cohort now, paying close attention to any student with a ‘Retained’ or ‘Unknown’ cohort status. Also identify any student who is in grade 11, but not on the 2025 cohort. Contact School Accountability immediately if you notice any issues or have any questions.

DEX Discipline Validation Rules Deployed
The Data Exchange discipline rules have been deployed to production. These rules have not yet been added to the DEX Validation Rules in EDData. You can view the validations in Knowledge Hub > Communications Hub > In Development (https://idoe.atlassian.net/wiki/spaces/IKHTV/pages/401277115/In+Development). Scroll down to “Development Items for 2023-2024.
